The Payroll Coordinator manages all aspects of the payroll process
to include processing, calculating, the bi-weekly payroll for all
Hospital and Medical Group employees. Provides organizational
support to leadership and timekeepers while managing systems
maintenance to ensure accuracy, Proactively works to improve
processes to promote consistency and timeliness. Is the custodian
of electronic records and reports which are necessary for audit
purposes, supplying tax payment information and the like.
Processing Payroll
- Manage Timely Accurate Processing of Bi-Weekly Payroll
Pre-payroll process,
- Support the organization's leaders and timekeepers
- Answer questions and audit time cards for accuracy and payroll
law and policy compliance.
- Ensure accuracy of the timekeeping payroll interface through
audits, troubleshooting errors as they occur.
- Manage all employee deductions and reimbursements to include,
gift shop, cafe, coffee cove, cell phone, gym memberships.
- Maintain accuracy of PTO, Holiday pay, and leave of absence
plans
- Oversee all high risk paychecks to prevent errors, slowdowns or
payroll failure.
- Continuous support to resolve problems with employees and
leaders in relation to bi-weekly payroll Prepare and process all
special payrolls as needed throughout the year.
Organizational Support
- Develop work-around within the payroll process as needed for
unique employee circumstances
- Manage change of status process for accuracy and
compliance.
- Train all leaders and timekeepers as needed in their bi-weekly
payroll responsibility.
- Educate and instruct new hires in department specific
timekeeping requirements during new hire orientation, with follow
up and support when needed
- Support leaders in the transfer process to ensure the process
is completed correctly this includes, system access, changes in
schedule, and changes in clocking in and out process
- Point of contact for all payroll issues, questions regarding
the law and policy, and regulatory changes.
- Continuous monitoring of organizational compliance.
Reporting and Payroll System Maintenance
- Maintain and process Finance reports
- Develop reporting as needed for leaders and timekeepers
- Manage all ACH and positive pay files related to regular and
special payrolls.
- Pay and balance bi-weekly taxes to include State, Federal, and
City tax
- Complete employment verifications, garnishments, jury duty
documentation, subpoena information as requested
- Support payroll system upgrades as needed with required system
testing.
Required Qualifications:
- High School diploma required
- 1-2 years of payroll experience required
