Job ID 1011Location GRCC Main CampusFull/Part Time Full-TimeRegular/Temporary RegularOrg Marketing Statement Date: -------------------------------------- -------------------- -- November 14, 2019Title: -------- ------------------------------ Cashier's Functional AnalystPosition:------------------------------------------------------ 1011Hours:---- ------------------------------ ------------------------ 40 hours/52 weeksCompensation: ------------------------------ Meet and Confer Grade 14, $54,925Reports to:------------------ ---------------------------- Director of Cashier's OfficePosted through:------------------------------ Open until filled (initial review of applications on--December 2, 2019 )Summary----------------The Cashier's Functional Analyst is the technical lead and provides oversight for support professionals and customer service team members, managing essential processes and developing initiatives for future enhancement.-- The Cashier's Office is responsible for all College cash and the billing and collection of over $55 million in tuition and fees annually.-- In support of this, the Cashier's Functional Analyst maintains a portfolio of key processes while also enhancing the overall development of the Cashier's Office management strategy.------Essential Job Functions Direct the daily office activities to assure compliance and exceptional customer service.Resolve customer service issues and complaints for office and assist with tuition and refund appeals.Provide oversight and direction for customer service staff and support professionals.Counsel students, parents, and staff concerning student financials and higher education charges and account balances.Assist in the development of student financials policies and procedures and train staff to remain in compliance.Oversee the implementation of all electronic student financials processing.Manage all facets of the student financials process for job training and non-credit accounts receivable - Cashier process.Delegate and monitor activities necessary to produce and deliver student financials processes on a well-coordinated, timely basis.Oversee the testing, implementation, and support of electronic student financial processes of the student administration systems.Assist with verification of compliance with Federal Cash Management Regulatory requirements.Perform professional judgment activities that are consistent and comply with program regulation.Disburse and monitor student financial aid packages awarded by the Financial Aid Office.Perform professional judgement to adjust student financial accounts when needed in accordance with required policy timelines.Attend professional development conferences, seminars, and workshops in order to stay abreast of current regulations in the student financials industry.Assist with interpreting compliance regulations and help develop policies and procedures.Coordinate training of Cashier's Office staff.Implement and research Campus Wide Information Systems (CWIS) patches, regulatory releases, and new functionality.Test and implement new and modified student financials functionality in the CWIS.Complete new year/term set-up and run student financials batch processes.Provide technical support and training of the CWIS for student financials staff.Create and update necessary student financials reports within the CWIS.Maintain student financials web page and assume responsibility for Internet communications generated by the web page and eGRCC.Student Financials technical/functional leader for CWIS.Access PeopleSoft web site to locate CWIS student financials patches, regulatory releases, and new functionality.-- Research information to prepare for testing and staff training.Complete the testing process for all applied patches, including completing test scripts, system testing and sign off.Provide technical support to staff and assist with troubleshooting CWIS issues.Provide CWIS training for student financials staff including preparing training materials and end-user process documentation.Complete the steps necessary to set up new year and new term pages in preparation for student registration billing and refunds.Recommend system design changes and upgrades based on efficiency of current system and user needs. Research new technologies affecting the student financials module and make recommendations regarding changes or innovations to allow staff to perform as efficiently as possible.Run existing batch processes including but not limited to billing, refunding, group posting, enrollment cancellation, and component interfaces.Create and update student data reports as needed.Update student financials web page as needed.Respond to student and/or forward all student financials communications received via the Internet.Regular attendance during normal scheduled hours is required.-- Being present is essential for serving customers and performing the essential functions of this position.Assume overall oversight of the office in the absence of the Director. Marginal (non-Essential) Job Functions-- Other duties as assigned by the Director of the Cashier's Office. Job specificationsEducation: Bachelor's Degree required, Master's Degree preferred.National Career Readiness Certificate (NCRC) preferred.-- Experience: Minimum of three years' experience in student financials, performing related tasks in a higher education environment. Skills: Proficient and proven record of computer technical skills including, but not limited to work processes, spreadsheet, and database skills. Proficient in a Windows environment, successful experience using Access, Excel, and the Internet required.Working knowledge of Campus Wide Information Systems (CWIS) including Query and Crystal required.Ability to communicate effectively with a diverse student, staff, and business partner population and provide exceptional customer service.Effective office organizational skills and aptitude for detail work.Ability to plan and work independently and as a team member.Ability to work evenings and weekends as needed. Mental Demands: Ability to work under pressure.Possess mature judgment and be flexible in regards to interruptions and the ability to handle pressure situations.Must use good judgement in handling sensitive, confidential, or difficult situations in a pleasant and professional manner.Willingness to maintain a flexible schedule, to work evenings and weekends as needed. Physical Demands: Ability to lift and move up to 25 pounds.Ability to sit/stand for extended periods of time. Working Conditions: Ability to function effectively as a member of a team in a multi-person and high volume customer service department with many interruptions.Ability to work in a noisy environment.Ability to work flexible hours as needed.
